About the Job

Administrative Responsibilities 
  • Automate the monitoring of various activities, asset management(electronic devices allocated to employees) and contracts (Service / Maintenance)
  •  Management (including negotiation) of AMC (Annually maintenance contracts) with vendors 
  • Monitor, supervise, and ensure safety measures are incorporated into all business office development 
  • Co-ordination and management of all administrative issues like hygiene, stationeries, & welfare 
  • Develop and maintain up-to-date, effective security measures to protect the company’s properties and staff 
  • Ensure all rents are paid promptly 
  • Supervise all maintenance activities and maintain a regular schedule of maintenance for the company’s properties 
  • Ensure the company’s insurance policy is adhered to at all premises and premium charges paid promptly 
  • Maintain clean surroundings on daily bases throughout the day 
Procurement Responsibilities 
  • Identify potential vendors, develop specifications for the product, prepare an analysis of the quotations and a final recommendation. 
  • Analyze and reconcile supplier’s invoices for all ordered and supplied goods and services ensuring they are adequately supported on a daily basis 
  • Receive participant listings from program teams and ensure they are reconciled and complete before attaching them to invoices for payment 
  • Working closely with Finance, and seek out clarifications with suppliers on invoices 
  • Scan through the Purchase Order book on a weekly basis and follow up with suppliers to submit any outstanding invoices 
  • Receive goods from suppliers and verify against the PO in consultation with the users 
  • Ensure ordered services and goods are provided satisfactorily as per the specifications and subsequent billing for such services received accurately and in a timely manner 
  • Perform any other assigned duties. 

Job Specification

  • Bachelor in Business Management or equivalent field and 2-3 years of working experience in office administration, logistics, and procurement. 
  • Ability to handle multiple tasks simultaneously with prioritization 
  • Attention to details and understanding of supplier's payment cycles/procedures 
  • Experience in a related field, such as management or financial reporting, is preferred. 
  • Exceptional leadership and time, task, and resource management skills. 
  • Strong problem solving,  interpersonal, and verbal and written communication skills. 
  • Proficiency with computers, especially MS Office. 
  • Ability to plan for and keep track of multiple projects and deadlines.
