The Role

Given that you will be the first person anyone (employees/vendors/visitors/guests) interacts with at our facilities, you will be the face of the business and are an integral part of how we portray ourselves.

You’re someone who has high integrity, and the diligence, persistence, and organizational skills to work in and lead all aspects of the reception area while also contributing to the Facilities’ Focus Area. You continuously work to improve our service delivery and expect nothing but the best results. You have a growth mindset and a knack for solving problems and taking logical data-backed decisions.

You will be part of the facilities services team which is a team of highly motivated local and global individuals, which mostly caters to Facilities Management; However, your primary responsibility will be to handle our reception desk at our Nepal Headquarters.

The Responsibilities for the role include, but are not limited to:

  • Ensuring that any kind of queries (In Person/ Slack) and needs of any employees within the facility are escalated/transferred in a timely manner.
  • Ensure that IT Accessories/Stationery Items and any other items are documented and dispersed to employees as per the requests of the employees.
  • Ensuring that visitors are welcomed professionally and the concerned employees are informed about the visitor arriving.
  • Answering phones in a professional manner and routing calls to concerned team members as necessary.
  • Ensuring that all local company-wide communications relating to the facilities are carried out in a timely and efficient manner.
  • Ensuring that all incoming mail/packages are forwarded to the concerned individuals.
  • Liaising with the security teams to ensure that all visitors follow required protocol for entry into premises.
  • Ensure that all logbooks (Visitor Book/ Vendor Book/ Goods Books Etc) are in order.
  • Ensuring that office safety protocols that are set by the organization including COVID are followed.
  • Monitoring visitor badges, and acting as an added layer of security into the premises.
  • Responsible for stationery, office/kitchen supplies, and emergency medical supplies inventory management, replenishment, and spend tracking in coordination with the procurement and resource teams.
  • Responsible for liaising with the kitchen team in terms of the quantity of lunch/snack orders for the day.
  • Assist in any other requirements of the facilities and operations team.

Requirements

  • Although CloudFactory offers hybrid working modalities that include working from office/hybrid or anywhere, given the nature of this role, it specifically requires you to work from the office premises 5 days a week.
  • A proven track record of 2+ years working as a receptionist while also contributing to other administrative needs and goals of the department/business.
  • Has completed high school (+2) level of education or above.
  • Is Amiable, approachable, and has an ability to build meaningful relationships.
  • Has a growth mindset that thrives on challenges and is always seeking to continuously improve and grow.
  • Able to adapt to a matrix-style working environment where collaboration is key.
  • Organized and dependable and has a knack for keeping records and documenting processes.
  • Fairly knowledgeable in the google workspace (docs/sheets/slides) which is the primary work ecosystem we use at CloudFactory.
  • Strong interpersonal and communication skills, both verbal and written. Must be able to speak, read, write, and comprehend English and Nepali.
  • Exhibits initiative in problem-solving and trouble-shooting with attention to detail.
  • Results-oriented with the ability to work under pressure.
  • Ability to leverage systems/tools to manage data and report accordingly.
  • Ability to take direction and work independently.
